EXECUTIVE BOARD JOB DESCRIPTIONS

President Job Description 
  • Oversees and coordinates the work of an executive board to run a PTA effectively
  • Presides at PTA board and association meetings
  • Serves as the official contact, communicator and representative of a PTA
  • Designated as an authorized signer for PTA checks, contracts and authorizations for payment
  • Serves as ex-officio member of all committees except the nominating committee
  • Works with other PTA leaders to connect families, school and community to support student success

Executive Vice President Job Description
  • Works as the primary aide to the president
  • Helps lead a PTA towards specific goals consistent with PTA purposes and policies
  • Performs president’s duties in his or her absence
  • Carries out other duties outlined in unit bylaws and standing rules or as assigned

Secretary Job Description 
  • Takes minutes at board and association meetings
  • Co-signs formal papers with president: authorizations for payment, resolutions and formal letters
  • Handles PTA correspondence as directed by the president
  • Maintains and preserves PTA records and important documents to pass on at the end of the term

Treasurer Job Description
  • Maintains permanent records to track unit funds and financial transactions
  • Chairs budget committee and prepares annual budget for adoption by the association
  • Pays all PTA bills as authorized by board or association
  • Prepares reports for every board and association meeting and an annual financial report
  • Ensures taxes and reports required by PTA bylaws, insurance or federal and state governments are completed and submitted by the due dates  

Financial Secretary Job Description
  • Works closely with the treasurer and other financial officers in handling PTA funds
  • Keeps a record of all PTA funds collected, deposited and disbursed
  • Prepares monthly and annual financial reports

VP of Family Engagement Job Description 
  • Coordinate the planning and execution of all approved programs with the program committee chairs.  This includes, but may not be limited to, establishing dates, ensuring that program chairs have adequate support, communicating budgets, and ensuring that programs are carried out according to the expectations of the Executive Committee. 
  • Serve as member of and update the Executive Committee and general membership on the activities of the program-based committees. 
  • Bring to the attention of the President appropriate and pertinent programs from other organizations including other schools, WSPTA or the National PTA that may be of interest to the general membership.  

VP of Ways and Means Job Description        
  • Coordinate the planning and execution of approved fundraising activities with the fundraising committee chairs. 
  • Serve as member of and update the Executive Committee and general membership on the activities of the program-based committees.  
  • Recommend fundraising goals for each proposed or approved fundraising activity.
  • Review the effectiveness of existing fundraising programs and recommend whether to continue them. 
  • Look for alternative fundraising activities and develop a fundraising activity plan in coordination with the Executive Committee.      
 
VP of Membership Job Description
  • The PTA membership chairman/vice president works with the membership committee to plan the annual membership campaign. The membership chairman/vice president is responsible for creating and implementing a membership plan, promoting membership throughout the year, providing membership reports at PTA board and association meetings, collecting dues, and distributing membership cards.
  • Serve as member of and update the Executive Committee and general membership on the activities of the program-based committees.

SRV Council PTA Statement on Inclusive Event Planning 
      “PTAs everywhere must understand and embrace the uniqueness of all individuals, appreciating that each contributes a diversity of views, experiences, cultural heritage/traditions, skills/abilities, values and preferences. When PTAs respect differences yet acknowledge shared commonalities uniting their communities, and then develop meaningful priorities based upon their knowledge, they genuinely represent their communities. When PTAs represent their communities, they gain strength and effectiveness through increased volunteer and resource support.” CAPTA Inclusion & Diversity 
 
       The San Ramon Valley Council of PTAs (“Council”) is committed to supporting our units in their efforts to continue to develop effective family engagement opportunities that are inclusive. PTA leadership, as community representatives, should collaborate with school administration to identify and eliminate barriers to family engagement related to race, ethnicity, culture, socioeconomic status, family structure, gender identity, sexual orientation, ability, and religion. 
 
        Council strongly encourages units to offer inclusive events. We value inclusion and diversity of our various communities. Culture, family structure, gender and sexual orientation should not deter participation in PTA events. Families and students should not need to call out their differences to feel included. 
 
       Gender-neutral events are more welcoming and culturally inclusive. A majority of units in the SRVUSD have replaced gender-specific events with gender-neutral ones. Parent-child events need not be cancelled; rather, the nomenclature is changing with the times. Units have received positive responses to events such as “Pastries with Parents,” “Family Dance,” “Sweetheart Dance” or “VIP Dance”. These are just a few creative ways to use language to foster inclusion. 
 
       PTA stands for “All Children, All Families” and our motto is “Every Child, One Voice.” National and California PTA have long encouraged PTA units to plan events that are inclusive. Inclusive events more effectively serve all children and all families and lead to greater parental and community engagement, which benefits every child.  We recommend that unit Presidents collaborate with their principal on inclusive language and events so that students and families are always welcome to events sponsored by the PTA.

*This document is intended to encourage thoughtful deliberation in making every reasonable effort to be inclusive, encourage creativity and fresh ideas, while being sensitive to the diversity of our children and families. PTA represents all children and all families and PTA-sponsored events should reflect that. 
 
For additional training, guidance and support, feel free to contact the Council President, Inclusion & Diversity chair, or the district Equity team on issues related to gender and inclusion. 
 
If space is an issue, consider splitting events by age instead of gender. Split K-2 and 3-5 as two separate events for example. Use labels like “VIP”, “MVP”, “Sweetheart” and other gender-neutral terms to suggest a one-on-one “date” with a family member if your event is not meant to be for the entire family.

Goals

The primary goal of the Tassajara Hills PTA is to help foster and build a sense of community where all feel welcome, can contribute, can benefit, and can make a positive difference for all children and families at Tassajara Hills Elementary School.  We hope you will help us achieve this goal by joining the Tassajara Hills PTA today!
 

What We Do

Our organization is run 100% by volunteers. We are extremely grateful for the parents and community members who help us run these programs and events every year. Many of the PTA programs and events are also funded through membership and other fundraising activities, including the annual Carnival and the sale of Spirit Wear, yearbooks, and student directories.  The funds allow the PTA to plan, financially support, and organize the following programs and events that benefit the entire Tassajara Hills community:

  • Breakfast Book Club
  • Multicultural Night
  • Science Night
  • STEM Club
  • Exercise Club
  • Ability Awareness Week
  • Sister School Donation Drives
  • Family Fun Nights
  • Staff appreciation events
  • Teacher grants, field trip grants, Copy Center, and much more!

Joining the PTA is an easy way to show your support for the school and does not require a large time commitment – there is no obligation to attend meetings or volunteer for events. If you are interested in becoming more involved, you can always attend the monthly meetings or choose from the many volunteer opportunities available throughout the year.
